Power Automate, Microsoft's workflow automation tool, connects to more than 1,000 services via standard connectors and can automate processes that currently involve manual copying, email routing, spreadsheet updates and approval chains, typically eliminating two to eight hours of manual work per week for each automated workflow.
There is a category of work that exists in every South African professional services business that contributes nothing to the quality of the service delivered and that continues because nobody has stopped to ask whether it has to be done that way.
It looks like this: a client submits a document by email. Someone downloads it, renames it according to the filing convention, uploads it to SharePoint or the document management system, sends a confirmation email to the client, updates a tracker spreadsheet with the date received and changes the status in a second tracker to "documents received." Five separate manual steps, involving two people, taking fifteen minutes.
That process, done for forty clients per week, takes ten hours of staff time. Every week. Every year. It does not have to.
What Microsoft Power Automate does
Power Automate is Microsoft's cloud-based workflow automation platform. It connects applications and services: email, SharePoint, Excel, Teams, Dataverse, Salesforce, DocuSign and more than 1,000 others via standard connectors, and automates the actions that currently require a person to move information from one place to another.
A Power Automate workflow has three components: a trigger (what starts the workflow), one or more conditions (if/then logic that routes the workflow based on the data) and actions (what the workflow does: send an email, update a record, create a file, notify a channel in Teams).
Where to start: the processes worth automating first
Not all processes are equal candidates for automation. The processes that yield the highest return on automation effort share three characteristics.
They are repetitive. The same steps happen in the same order every time, with the same inputs and the same outputs.
They are high frequency. A process that happens twice a year is worth automating eventually. A process that happens forty times a week is worth automating now.
They are well-defined. Automation requires clarity about what the trigger is, what the inputs are, what the outputs are and what constitutes a successful completion.
For South African professional services businesses, the categories that most consistently meet all three criteria are: document receipt and filing, client onboarding communication sequences, internal approval routing, data entry from forms to tracking systems and status notification communications.
The FICA onboarding process as a worked example
The FICA onboarding process for South African financial services firms is among the most reliably automatable processes in the sector.
A new client submits FICA documents: certified ID copy, proof of address, source of funds declaration. These arrive by email, WhatsApp or via a web form. Compliance requires that they are received, reviewed, filed in a compliant document management structure, logged with a date stamp and that the client receives acknowledgement.
Currently, in most South African financial advisory practices and smaller asset managers, this process is done manually by an administrator. A Power Automate workflow can handle receipt, filing, logging and acknowledgement automatically. The compliance officer's review, the human judgement that cannot be automated, is flagged by the workflow with a Teams notification that includes a link to the filed documents.
The automation does not replace the compliance officer's judgement. It removes everything around the judgement that does not require it.
